Start with the travel roster, not just the show dates

NRF travel often begins before the first session and ends after the last meeting. A team arriving on separate flights may need several airport transfers rather than one group pickup. List each flight, passenger group, hotel and arrival contact before requesting the schedule.

For the final day, decide whether bags stay at the hotel or travel with the group. An airport departure after Javits needs a vehicle that fits both the passengers and luggage, plus time to reach the departure terminal and meet airline deadlines. Do not plan the road journey from the scheduled end of a session alone.

Hotel transfers or an hourly chauffeur?

Hotel to Javits

A point-to-point booking fits a defined hotel departure and venue destination. Confirm the entrance and traveler contact; a hotel's main street address may not identify the entrance your group will use.

Meetings throughout the day

Request hourly service when you need the vehicle between appointments. Share each destination, expected stop duration and the planned end time so availability and terms can be confirmed.

Different team schedules

One vehicle cannot serve simultaneous departures to different destinations. Describe the split groups and ask for a coordinated plan rather than assuming an hourly booking covers parallel trips.

Ask whether the quoted service retains the vehicle for the entire period or supplies separate transfers. Confirm the minimum duration, overtime treatment, waiting arrangements and any itinerary changes in advance. Our hourly service page explains the format; your agreed itinerary determines the actual booking.

An example day to adapt to your appointments

This is an illustrative itinerary, not NRF's official schedule or a price package:

  1. Hotel departure: bring the group together at the agreed entrance before the pickup window.
  2. Javits arrival: allow for walking, security and registration after leaving the vehicle. Confirm your program's entrance instructions with the organizer.
  3. Offsite meeting: supply the office or store address and expected end time. Confirm whether the chauffeur waits or a separate collection is booked.
  4. Evening return: use a reachable passenger contact and an agreed meeting point rather than relying on the vehicle being outside the same door all day.

For multiple days, send a dated itinerary for each day. If your team changes a meeting or returns to the hotel early, contact dispatch so the availability and any price effect can be confirmed.

Vehicle fit and booking coordination

Choose the vehicle around the largest passenger-and-baggage load on that leg. An executive sedan, SUV and Sprinter serve different group needs, but a passenger capacity alone does not prove room for every suitcase. Tell us about samples, equipment, strollers or mobility aids; passenger transport is not exhibition freight delivery.

Identify the person approving the trip, the traveler meeting the chauffeur and any person responsible for billing. If you need multiple vehicles, consolidated invoicing or particular account terms, request confirmation before treating them as part of the service. The corporate account page is the starting point for an account inquiry.

For a simple transfer, use the trip form above. For a team itinerary, email the dates, hotel addresses, flights, passenger groups and requested service windows to info@chauffeurservice.nyc. Keep passport numbers, payment-card details and other unnecessary sensitive information out of the itinerary.

NRF transportation questions

Can I request transportation for all three NRF days?

Yes. Send each day's hotel, venue and offsite destinations with the requested service window. Vehicle availability and the complete itinerary must be confirmed before the reservation is final.

Is an airport transfer included in an hourly event booking?

Do not assume it is. Include the airport leg, flight, luggage and timing in the request so the quote specifies whether it is part of the hourly itinerary or a separate transfer.

Can our team split into several vehicles?

Request the passenger groups and simultaneous departure times you need. The team will need to confirm the vehicle arrangement and availability; a single-vehicle reservation does not cover multiple vehicles.

Does booking a chauffeur include NRF tickets or official shuttle access?

No. This is independently arranged transportation. Registration, official shuttles and event-program access are controlled by NRF and are separate from your car-service booking.

What if a meeting runs past the booked time?

Contact the team as soon as the schedule changes. Extra time or a revised transfer is subject to availability and the terms of your confirmed booking; an extension is not automatic.
